The heart of the Stillwater Expo is what is happening live. Throughout both days, the Civic Center arena will host rotating demonstrations, talks, and interactive activities designed to draw a crowd and keep people engaged.

This year, the Stillwater Expo is partnered with the Swap & Shop, creating a full indoor and outdoor experience.

  • Indoor: Local crafters, artisans, and vendors inside the Civic Center
  • Outdoor: Expo booths, demos, activities, and large displays hosted by the Chamber

This layout allows for bigger displays, more movement, and a dynamic flow that keeps people exploring all weekend long.

Booth Size: 10′ x 10′ per space – You may purchase multiple spaces.

Booth Fee: $50 Chamber Members | $80 Non-Members

Large Display Booth: Price flexible based on spacing requirements

By registering as a vendor at any event, your business or organization is automatically recognized as a Marketing Partner of the event promoter. As a partner, it is in everyone’s best interest to help promote the events you are attending. We encourage you to share the event on your social media channels, include it in your email newsletters, and display a poster in your storefront or place of business.

The Stillwater County Chamber of Commerce will provide event logos, details, and posters. Your help in spreading the word is greatly appreciated and plays an important role in making this fun and exciting community event a success.

    Stillwater Expo Vendor Terms and Conditions

    Event Overview: The Stillwater Expo is hosted by the Stillwater County Chamber of Commerce. This is an outdoor event held rain or shine.

    Fees: Chamber Member booth fee is $50 per 10’ x 10’ space. Non-Chamber booth fee is $80 per 10’ x 10’ space. Large display spaces are priced flexibly based on footprint and placement.

    No Early Teardown: Vendors may not begin teardown or leave before the scheduled end time without approval from event organizers.

    Vendor Responsibility: Vendors are responsible for their own booth, equipment, products, and staff. The Chamber is not responsible for loss, theft, or damage.

    Liability: The vendor agrees to hold harmless the Stillwater County Chamber of Commerce, event partners, and venue representatives from claims or damages arising from participation, including injury or property damage caused by vendor equipment, actions, or products. Vendors will provide business liability insurance naming Stillwater County Chamber of Commerce

    Permits and Compliance: Vendors selling food or beverages must comply with all local and state regulations and maintain any required permits or licenses.

    Prohibited Items/Activities: The Chamber reserves the right to deny participation or remove any vendor whose products, messaging, or activities are illegal, unsafe, or not aligned with community standards.

    Refund Policy: Booth fees are non-refundable unless the event is canceled by the Chamber.

    Communication: Event instructions and updates will be sent by email. Vendors are responsible for monitoring email communications.

    Marketing Permission: Vendors grant permission for the Chamber to use business name, logo, and submitted description for event promotion.

    Waiver: Stillwater County Chamber of Commerce and Stillwater County, Montana are not responsible for accidents, breakage, fire, theft, or damage to dealers’ merchandise or personal properties regardless of the cause thereof. Neither will Stillwater County Chamber of Commerce and Stillwater County, Montana assumes any responsibility for any personal injury before, during or after the show, while on Stillwater County, Montana property. Stillwater County Chamber of Commerce has the right to accept or deny entry to any exhibitor.
